Recording material transfers between research teams

Preserve sample identity, quantity, documentary links and responsibility when research material moves from one team to another.

A material transfer changes who holds a sample and may change how it is identified locally. The transfer record should let both teams connect the received object to its origin, supporting documents and agreed responsibility without relying on an informal handover conversation.

Treat the handover as a documented event

Texas A&M’s March 2026 equipment and chemical transfer form records the person releasing custody, the person assuming it, the material, date and location. For a research sample, begin with its existing container or preparation identifier and the supplier lot or parent material to which it is linked. A note saying only “peptide sent to team B” leaves the object ambiguous.

State whether the whole container or a newly identified portion is transferred. If a portion is created, retain its parent relationship so that the receiving team can follow the material back to the original record.

This article concerns documentation. Transfer permissions, shipping arrangements and institutional agreements are separate matters to resolve through the applicable processes; a signed inventory entry does not replace them.

In a hypothetical transfer, sender vial S14 becomes recipient container R08. Both identifiers should remain in the mapping. The new local code does not create a new supplier lot or erase the original vial history.

If the recipient receives less material than expected, record the observation and its basis rather than silently changing the sender’s recorded amount. The two records may represent different measurements or a discrepancy needing investigation.

Attachments should be tied to the material transferred. Sending a general product brochure alongside a sample is not equivalent to providing the applicable lot certificate.

Close the loop when the material arrives

The sender’s dispatch entry records that material left their control. The recipient’s receipt entry records what was received and when. Keeping both makes delays, missing items and identity questions easier to investigate.

Record any visible label mismatch or missing document as an observation, including the exact identifiers involved. Avoid diagnosing chemical damage from appearance alone or assuming that a label discrepancy is harmless.

Agree which team maintains the primary historical record and how the other team can retrieve it. A link into a system inaccessible to the recipient is not a complete documentary handover.

Preserve the transfer in both inventories

Update the sender’s available quantity and the recipient’s inventory without deleting the transfer history. If the full container moved, the sender can mark it transferred while retaining its earlier experiment links.

Later corrections should refer to the shared transfer identifier or date so both teams can reconcile them. Otherwise, one inventory may remain linked to an outdated lot code after the other has been corrected.

A complete transfer record supports continuity between laboratories. It does not establish that a sample remained chemically unchanged, but it makes the objects, responsibilities and evidence involved in the handover clear.
